Adding & Editing Email Templates
You can add or modify templates by in the admin by going to: Config > Design > Email Templates
Typically, the following templates are what you will find already loaded onto your site:
- Admin Order Receipt - Informs the admin that a new order has been placed on your site.
- Contact Us Email Template - Informs the admin when a user fills out a contact us form on your site.
- Email Friend - Sent out by a user when they want to share a page with a friend.
- Forgot Password Template - Notifies the user that their password has been reset.
- Gift Certificate Template - Notifies the user that a gift certificate has been issued.
- New Order Receipt E-mail - Notifies the user you received an order.
- New Return Email Template - Informs the admin that a return has been requested.
- New User Sign Up Email - Notifies/welcomes the user when they sign up on your site.
- Order Approval Request - Notifies the approver that an order needs approval.
- Order Approved - Notifies the user their order was approved by their approver.
- Order Denied - Notifies the user their order was denied by their approver.
- Order Status Update E-Mail - Updates the user on the status of their order.
- Request for Quote - Notification to ADMIN - Informs the admin that a request for a quote has been submitted by a customer.
- Return Accepted Template - Notifies the user their return request was approved.
- Return Rejected Template - Notifies the user their return request was rejected.
- Shipping Update Template - Notifies the user their order has shipped.
- User Sign up Notice (Admin) - Informs the admin that a new user has signed up on your site.
These are the emails that are sent out to you/your staff/customers. This is of course determined by a particular action; for example if a user places an order on your site, notifications are sent to both the user and the admin. Another determinant of how the emails are disseminated would be the settings you have listed under Config > General > Store Email Addresses which would determine whom receives/sends out the notifications.
Anatomy of an Email Template
Typically, the following templates are what you will find already loaded onto your site:
- Preview - You can use this button to preview the email (must enter an order # that exists on your site)
- Template Name - Internal name of the template
- From - The email address from which the email will be sent from
- Subject - Subject of the email, can use tags such as [[Order.OrderNumber]] to show order number
- BCC - Enter additional email addresses to BCC
- Send in Plain Text - Send email using plain text body instead of the HTML body.
6. HTML Body - If you know how to write html, you can use this area to code your email template.
7. Add Selected Tag - This adds the selected tag in the 'available tags' box where your cursor is in the box.
8. Plain Text Body - You can use this create a plain text body for your email. If "Use Plain Text" is checked, then the email will use the text here instead of the HTML body.
9. Available Tags - List of tags you can use in your template.
